A Nursery Ratio Calculator UK estimates the minimum number of staff required for children entered in four age groups. It covers group-based nurseries and day-care settings in England, Scotland, Wales and Northern Ireland.
The calculator separates children into under 2, age 2, age 3 and age 4 or over. It applies the programmed ratio to each group, rounds each staff requirement up to a whole person and then adds the results.

How to Use the Nursery Ratio Calculator
1. Select the UK Nation
Choose England, Scotland, Wales or Northern Ireland. Nursery staffing rules are not identical across the four nations, so selecting the correct location is essential.
The calculator is intended for group-based nursery or day-care provision. It should not be used for a childminder, nanny, school class or informal childcare arrangement because different requirements may apply.
2. Select the Applicable Ratio Option
Three options appear in the calculator:
- Standard nursery ratio
- England: approved Level 6 person directly working with children aged 3 or over
- Scotland: children aged 3 or over attending for under four hours
The England Level 6 option can only be selected with England. It changes the programmed ratio for the age 3 and age 4+ groups from 1:8 to 1:13.
The Scotland short-session option can only be selected with Scotland. It changes the older groups from 1:8 to 1:10. Use it only when the session and attendance arrangement meet the applicable Scottish conditions.
3. Enter Children in Each Age Group
Enter a whole number of zero or more for every age band. A blank field is treated as zero, but at least one child must be entered across the complete form.
Count children present at the same time, not everyone registered across different sessions. If attendance varies, calculate the busiest periods separately.

4. Calculate and Review the Breakdown

The displayed total is a mathematical minimum under the selected programmed rules. A setting may need more staff for breaks, supervision, additional needs, outings, emergencies or staff who cannot legally count in the ratio.
Which Ratios Does the Calculator Apply?
For England standard, the calculator uses:
- Under 2: 1 adult to 3 children
- Age 2: 1 adult to 5 children
- Age 3: 1 adult to 8 children
- Age 4+: 1 adult to 8 children
When the England Level 6 option applies, the age 3 and age 4+ ratios become 1:13.
For Scotland standard, it uses 1:3, 1:5, 1:8 and 1:8 across the four age bands. The short-session option changes both older groups to 1:10. The calculator also applies a minimum of two staff in Scotland.
For Wales, the programmed ratios are 1:3 for under 2, 1:4 for age 2 and 1:8 for both older groups. A minimum of two staff is applied.
For Northern Ireland, the calculator currently applies 1:3, 1:5, 1:8 and 1:10, plus a two-staff minimum. These are the tool’s programmed planning values and should be checked against the latest Northern Ireland group day-care standards before being used operationally.
How Is the Minimum Staff Number Calculated?
Each age group follows this formula:
Staff for age group = Children in group ÷ Applicable ratio, rounded up
The calculator rounds each age group separately. Remaining spaces in one group are not transferred automatically to another group.
The total is:
Estimated staff = Under-2 staff + Age-2 staff + Age-3 staff + Age-4+ staff
For Scotland, Wales and Northern Ireland, the final result is raised to two when the calculated total is lower than two.
Nursery Ratio Calculation Example
Suppose an English nursery selects the standard option and enters:
- Children under 2: 6
- Children aged 2: 10
- Children aged 3: 8
- Children aged 4+: 8
For children under 2:
6 ÷ 3 = 2 staff
For children aged 2:
10 ÷ 5 = 2 staff
For children aged 3:
8 ÷ 8 = 1 staff member
For children aged 4 or over:
8 ÷ 8 = 1 staff member
The calculator adds the four groups:
2 + 2 + 1 + 1 = 6 staff
It therefore displays 32 children, an estimated minimum of six staff and “England standard” as the overall rule. This example exactly matches the programmed calculation.
Why the Operational Requirement May Be Higher
The calculator counts only children and mathematical ratios. It does not check staff ages, approved qualifications, paediatric first aid, suitability, management requirements or whether a Level 6 practitioner is directly working with the relevant children.
It also does not model mixed-age deployment, staff breaks or additional supervision. Nursery managers should use current attendance records and qualification evidence before finalising a rota.
